What You’re Really Paying For When You Hire Bali Brides

Let’s talk about something couples never see, and honestly, that’s the whole point.

Every wedding season, things go wrong. Not because anyone’s incompetent, but because you’re coordinating dozens of humans, across different companies, on an island, for one day that cannot be rescheduled. Any Bali wedding planner will tell you the same thing: something will always go sideways. The difference between a planner who’s worth it and one who isn’t comes down to what happens in that moment, and whether you ever hear about it.

Here’s what we’ve actually put out this season. Not hypotheticals. Real fires, from real weddings, in the last few months.

The Fires We’ve Put Out This Season

The cake showed up wrong. Not “slightly different,” wrong. Here’s the photo of what we ordered next to what turned up on the day.

We caught it, we made calls, we fixed it before the couple ever walked into the reception.

Invoices coming in wrong. On every single wedding. Every supplier, every event, someone bills the wrong amount, forgets a line item, or charges for something that was never agreed to. We check every invoice against the original quote before it goes anywhere near your final numbers.

Chairs showing up in the wrong colour. Flowers, furniture or napkins showing up in the wrong colour. These sound small until you’re staring at 120 mismatched chairs three hours before guests arrive. We’ve sent things back, resourced items last minute and made it look like it was always the plan.

Suppliers double booking and shrugging it off. “Whoops, sorry, we’re double booked that day.” That’s not a text you want to receive. It’s one we’ve received, dealt with, and replaced the supplier before you ever knew there was a problem.

A DJ who came down sick and cancelled last minute. We found a replacement, briefed them on your entire run sheet, and your dance floor never knew the difference.

Suppliers trying to increase pricing after we’d already secured rates and paid deposits. This happens more than you’d think. We push back, hold them to what was signed, and negotiate discounts or partial refunds when something isn’t delivered to standard.

And here’s the number that actually matters: 90% of the time, our clients never find out any of this happened. That’s not us hiding things from you. That’s the job. You hired us so your wedding day problems become our problems, not yours.

There Is A Genuinely Stacked Army Behind You

People see one planner on a call with them and think that’s the whole team. It’s not even close to true at Bali Brides. Here’s what actually sits behind your wedding, hour for hour.

Steph in sales spends 2 to 4 hours per event just finding the right venue, negotiating, booking, and invoicing before you’ve even signed on. Then she spends another 30-60 minutes doing up a handover so your planner has all the details before your first call.

Your planner runs 12+ calls with you over the planning journey. Each one comes with 30 minutes of prep beforehand and an hour of follow-up after, actioning everything discussed. That’s 30 hours on calls alone, and that’s before any of the actual planning work.

Our Admin team- handles bookings and chasing suppliers on your behalf, roughly 2 hours a month per client. Over a 12 month planning journey, that’s another 24 hours.

Our production team builds all your printables, seating plans, welcome signs, table numbers, memorial signs, shot walls and more. At least an hour of design work per client, another hour of revisions as oops we had 2 people drop out plus 30 minutes each way picking up materials, plus up to 2 hours physically creating it all, sticking, sorting, and spell checking every single item.

Your final meetings, the ones right before your wedding, are the big ones. Your planner spends up to 16 hours finalising numbers, building your full wedding day brief, pushing back on suppliers who’ve billed incorrectly, and updating guest counts after you submit final numbers because “oh, we just had two drop outs.” Cue us contacting the florist, furniture hire, tableware, bar, and catering again, rechecking every invoice, correcting every error AGAIN.

Invoicing alone across the full planning journey adds up to at least another 10 hours per client.

Add it up and you’re looking at 90+ hours of work before your wedding day even begins, and none of it happens on a call you’re sitting on.

And Then There’s The Wedding Day Itself

We leave home around 7-8am. Depending on your venue, we’re getting home anywhere from 11pm to 2am. That’s not including the extra support staff on site with us.

For smaller weddings, we have a minimum of two assistants: one managing music, DJ, and entertainment, one running setup and managing your MC through the evening. For larger weddings, theres normally 5 to 8 people on the ground across the day managing setups in multiple areas, guest arrivals, transport, all the suppliers, checking table layouts and more.

That’s 40 to 120 hours of labour on your wedding day alone from Bali Brides team. 

In that time we are: sorting out your aunty who forgot to mention she’s gluten free, chasing furniture hire who forgot to bring three items, sending your bouquet back to the florist three times because it’s not quite right, answering 500 questions from the bridesmaid who “works in events” and wants to check the run sheet, ordering you lunch because you forgot to eat, moving chairs five centimetres to the left because yes, it genuinely makes a difference in photos, showing the catering team exactly how you want your plates and napkins set, and making sure the lighting is dead centre on the bridal table.

All of it with a smile on our face, while also fielding calls from suppliers loading in who are asking questions that were already answered in the run sheet we spent 8 hours building.

You’re Not Paying For Hours, You’re Paying For Experience

Here’s something worth saying plainly. We’ve watched a lot of new planners pop up on this island in the last few years, and a fair few of them have no real experience actually planning a wedding. Not from lack of trying, just genuinely untested when it matters most.

Because here’s what this job actually is. We’re therapists, talking you through why you’re dreading your best man’s speech and reassuring you it’ll be fine. We’re the ones untangling your family drama when the seating plan won’t work, or working out how to manage divorced parents who need three tables of distance between them.

We’re mathematicians, measuring out tables, chairs, and decor, working out how your dream layout fits into a space that on paper shouldn’t fit it, and finding a way anyway.

This is a high pressure, high stakes job. We’re responsible for a once in a lifetime event that cannot be redone if something goes wrong. You need a Bali wedding planner who has actually managed this before, not someone learning on your wedding day.

Here’s The Thing About Where Your Money Goes

You’ll happily spend $6,000 on flowers and the florist team. $4,000 on your photographer. $2,000 on hair and makeup for you and your whole bridal party. And you should, those things matter and they deserve proper investment.

But the person making sure every one of those suppliers actually turns up, does their job right, invoices you correctly and doesn’t ruin your day if something goes wrong? That’s not the place to cut corners. That’s the role holding every other investment together.

And there’s a lot sitting under those hours that never shows up on an invoice. We pay for drivers and security on the day. We cover vendor meals for every single supplier on site, not just the key ones you’re billed for, because everyone working your wedding deserves to be fed. We cover drinks, coffees and snacks for our own team through what’s usually a 15+ hour day. Most of the time, the day after your wedding is a full work day written off for us, because we’re that tired with what we call “a wedding hangover”.

On top of that there’s the business running behind us the whole time, work phones, laptops, accounting systems, bookkeepers, tax. This isn’t “we charged you for X hours on the day.” It’s an entire operation built to make sure your day runs without a hitch.

That’s what you’re actually paying for.
